Job Qualifications

- minimum of one-year related office experience providing clerical or administrative support
- successful experience in a highly visible office with public interaction
- experience in sales, marketing or healthcare preferred

Job Duties
- Greet all individuals who contact or visit the sales office and provide appropriate information or refer to Sales Director or appropriate sales staff
- respond to requests for information by sending designated letters and brochures and enter inquiry data into CRM software
- answer incoming calls and direct as appropriate while correctly recording messages
- respond to inquiries from the organization’s website and proxy email by mailing requested information or redirecting to staff
- assist or conduct tours of residential and assisted living as directed
- coordinate marketing special events including preparing invitations, verifying attendance, and scheduling tours
- prepare orientation packets, move-in information, phone directory, and name plates for new residents
- schedule resident host/hostess and prepare welcome gifts
- provide administrative support including correspondences, reports, tracking apartment extras, and supporting admission/move-in processes
- organize applicant files ensuring all forms are complete
- maintain a professional and well-organized office environment
- manage department storage areas and inventory of supplies
- utilize resident volunteers or concierge to prepare brochures and applications
