Job Requirements
- Excellent communication skills necessary to communicate clearly with customers and other departments
- Ability to read contracts and business correspondence

Job Qualifications
- High school diploma or vocational secretarial training
- Previous sales, hospitality, and secretarial experience preferred
- Advanced proficiency in Microsoft Word applications including Delphi, Word, Excel, Publisher and PowerPoint
- Strong alphabetizing, grammar and punctuation skills
- Knowledge of standard business letter formats
- Strong editing skills
Job Duties
- Answer sales office phones during office hours
- Enter and qualify all sales inquiries accurately, timely and in a professional manner
- Coordinate all group and wedding business contracted by the sales manager/Director of Sales
- Effectively communicate with various departments to exceed client expectations
- Track all client accounts including room blocks, events, and catering
- Maintain master files for each group with detailed, pertinent information
- Maintain accuracy of group room blocks including cutoff date, room pickup, and rates
- Ensure accurate billing setup for timely processing
- Identify, block and process staff, VIP, and comp room reservations
- Ensure inventory and information availability for individual call-in groups via designated booking channels
- Monitor group pickup, cutoff dates, rate and room type availability to maximize revenue and client satisfaction
- Audit group blocks, room rates and concessions against PMS per contract
- Ensure blocks are consistent with group patterns and approve additional rooms as needed with Revenue Manager
- Communicate details with Convention Services and meeting contacts
- Facilitate rooming list entry and ensure all information is available
- Coordinate group activities including reservations, rooming lists, deposits, and group resumes
- Review rooming lists for accuracy and billing
- Block special request reservations and suites
- Monitor housing bureau pickup and make adjustments
- Bill commissions for meeting planners
- Facilitate coordination between housing bureaus, meeting planners and hotel
- Develop strong client relationships through professional communication
- Create group resumes and amenity requests
- Maintain current knowledge of hotel rates, strategies, discounts, and promotions
- Assist with completing sales reports
- Follow-up promptly on customer needs and inquiries
- Represent the hotel with integrity and professionalism
- Maintain a positive team attitude and open communication
- Display a neat, clean and business-like appearance
- Assist sales department with events
- Conduct walk-in tours
- Work on group turnover and final billing
- Perform all other duties as assigned by management
