Job Requirements

  • associate degree required
  • two years of event planning experience
  • one year of supervisory responsibility
  • valid driver’s license and compliance with vehicle use policy
  • ability to work flexible schedule including extended hours, evenings, weekends, and other event times
  • strong communication and interpersonal skills
  • project management experience
  • ability to coordinate multiple priorities and problem solve under pressure
  • Food ServSafe certification or willingness to obtain within six months

Job Duties

  • communicate in person, phone, email, and text with clients and guests throughout event scheduling and setup
  • enter all event information and contracts into event management system
  • manage space reservations and real-time scheduling in R25 and Outlook
  • promote, sell, and coordinate use of event and meeting spaces
  • develop client relationships and execute sales strategies
  • ensure optimal space utilization through targeted marketing and outreach
  • oversee event space setup according to client specifications
  • perform custodial duties during events as needed
  • address classroom and conference room technology issues
  • coordinate with clients and caterers for event catering needs
  • shop for event supplies
  • manage setup and tear down activities
  • scan and reconcile catering receipts in Chrome River
  • submit requisitions and documentation for purchases
  • supervise, train, monitor, evaluate, and schedule student employees for event activities
  • provide detailed instructions to employees responsible for event coverage
  • serve as liaison for external client events held during evenings and weekends
  • coordinate building and facility needs with supervisor
  • communicate building issues, custodial, grounds, and delivery assistance
