Job Requirements
- Hospitality or related industry experience required
- Previous event planning experience required
- Valid driver's license required
- Ability to work flexible schedules including more than 40 hours per week
- Comfortable working in a shared space with frequent noise
- Ability to adapt to changing priorities and deadlines
- Must be able to travel locally for events
- Proficiency with sales or event management software preferred
- Strong communication skills required.

Job Duties
- Act as sales admin for Bohemian Hotel Savannah
- Obtain certification as a CI/TY subject matter expert and assist with menu updates, tax updates, and system audits
- Create site alerts and arrange VIP amenities for group clients
- Provide backup support to banquets/F&B for on-property groups
- Qualify and enter group sales and catering leads into the sales system
- Create and print private dining menu cards and place cards
- Communicate revised and pop-up event orders to all departments
- Create detailed event orders to meet the specifications of the client, manage room blocks, food and beverage requirements, meeting room setups, billing, and additional client needs
- Communicate and enforce contractual agreements to clients pertaining to group rooms, meeting space, food and beverage, and special concessions
- Complete group/event sales accounting including processing deposits, turnovers, banquet billing, and posting in Opera
- Attend Savannah-based functions at start and remain until meal service has begun
- Complete required reporting and documentation including ESM event tracking spreadsheets
- Collect attrition charges owed
- Ensure all guest checks, payments, master folios and advanced deposits are submitted to accounting
- Ensure Rewarding Events points are posted after event conclusion
- Collaborate with culinary operations on custom menu development and design
- Maintain proper documentation of events, changes, and special requests
- Facilitate event order and group resume meetings
- Act as on-site contact for clients and address challenges immediately
- Organize and conduct site visits, pre-planning, pre-con and post-con meetings
- Maximize revenue through upselling hotel outlets
- Work with vendors to ensure client satisfaction
- Update onsite contact information to ensure receipt of event satisfaction survey
- Generate thank you notes and service evaluations for all groups
- Greet clients as they arrive on day of arrival
- Utilize required systems and platforms to track group progress
- Maintain accurate, organized, up-to-date sales and computer files
- Participate actively in sales and catering meetings
- Use logic, integrity, and sound judgment in business decisions
- Perform additional duties as assigned.
