Job Requirements
- approach all encounters with guests and employees in a friendly, service-oriented manner
- maintain regular attendance as required by scheduling
- maintain high standards of personal appearance and grooming
- comply with company standards and regulations for safe and efficient operations
- maintain organized sales files as per standards
- type and process all contracts, proposals, memos, and correspondence
- answer phones and record messages for sales staff
- be attentive, friendly, helpful, and courteous at all times
- process and distribute all RFPs as directed
- assist managers on creative projects
- maintain timely paper flow and communication
- assist guests and clients with small changes and paperwork
- meet walk-ins if sales team is unavailable
- enter group leads, build opportunities and quotes
- maintain thank you letters and distribute accordingly
- monitor and order office supplies
- organize in-house deliveries and transportation schedules
- coordinate and prepare event orders for special events
- maintain strict confidentiality
- represent hotel in absence of director of sales
- perform other duties as requested by management
Job Qualifications
- high school diploma or equivalent
- associate degree from two-year college or two to three years related experience or training
- proficiency in english both written and spoken
- proficiency with Microsoft Office programs including Word, Excel, PowerPoint, and Outlook
- knowledge of hotel sales software such as Marriott CI/TY, MARSHA, or LightSpeed
- strong attention to detail, accuracy, and speed to meet deadlines
- ability to multi-task, prioritize, organize, delegate work and follow through
- knowledge of market trends, competition, and key customers of the hotel
- hotel management and reservations training desired
Job Duties
- assist director of sales and sales team with clerical and administrative duties
- maintain sales files and process contracts, proposals, and memos
- answer phones and record messages for sales staff
- qualify incoming inquiries and ensure timely professional responses
- type, process, and distribute requests for proposals (RFPs)
- assist managers with creative projects such as proposals, direct mail, and special events
- maintain communication flow within the sales department and to other departments
- help guests and clients with small changes and requests
- meet walk-in clients when sales team is unavailable
- enter group leads, build opportunities and quotes in hotel sales software
- monitor and order office supplies and sales collateral
- organize in-house deliveries and transportation schedules
- coordinate and prepare event orders for special events
- maintain confidentiality and represent the hotel in absence of director of sales
- perform additional duties as requested by management
