Job Requirements
- high school diploma or equivalent
- 1-2 years of experience in administrative or hospitality roles
- proficiency in Microsoft Office and G Suite
- excellent verbal and written communication skills
- ability to multitask and manage multiple calendars

- ability to remain calm and professional under pressure

Job Qualifications
- 1-2 years prior experience in administrative based job
- experience in hospitality, catering or conference services is a plus
- ability to prioritize and organize work assignments
- proficiency with property and computer systems
- strong verbal and writing skills
- computer literate with attention to detail
- proficient in Microsoft Office and G Suite
- current knowledge of clientele and event expectations
- ability to work evenings and weekends as business requires
- self-motivated with the ability to work without direct supervision
- ability to remain calm and courteous in demanding situations
- ability to analyze and resolve problems with good judgment and high ethical standards
- strong communication skills to liaise with supervisors
Job Duties
- Answer all phone calls promptly with a professional, polite, upbeat and helpful demeanor
- route calls to managers or assist clients as needed
- provide administrative support to Sales Directors and manage multiple calendars and schedules
- maintain office supplies, brochures, competitive files and activity files
- assist clients when sales managers are unavailable
- take notes at sales meetings and distribute within three days
- assist with group contracts and special projects as requested
- qualify leads via phone, email or walk-in and route inquiries to appropriate Sales Directors
- proofread all outgoing correspondence for accuracy and presentation
- process mass and special mailings related to sales purposes
- maintain all sales files according to established procedures
- prepare sales packets for potential clients
- manage client amenity requests and site inspections
- run weekly and monthly sales reports
- assist with travel arrangements including booking flights and hotels
- communicate promotions and events to central reservations
- manage sales database
- participate in scheduled meetings and record minutes
- handle booking of small groups with appropriate permissions
- maintain a calm and courteous demeanor in guest interactions
