Job Requirements
- high school diploma or equivalent
- 2+ years of management and leadership experience in event coordination or related field
- proficiency in microsoft office tools, including excel, powerpoint and word
- experience with canva
- strong organizational and communication skills
- ability to manage multiple priorities and deadlines
- commitment to the church’s mission and values
- ability to work collaboratively across departments
- flexibility to adapt to changing event needs and circumstances

Job Duties
- oversee the preparation and implementation of sharechurch conferences and events, including pre-planning, scheduling, logistics planning, execution and event debriefing
- create event registration, develop event dashboard and reports, and manage day to day registration questions
- facilitate cross-department team meetings to ensure success preparation for all aspects of events, including audio/visual/lighting production, streaming services, facility set-up, safety and security, catering, bookstore and wayfinding needs
- establish and maintain relationships with vendors, caterers, rental agencies, and lodging partners
- address, with decisive action, any unforeseen problems that arise
- coordinate facility reservations and set-up
- solicit vendor bids for services and products
- serve as primary communicator to our audience, in regards to registration, preparing and posting non-event related social media, weekly newsletter and blog posts, and assisting with website updates
- manage honoraria, travel, hospitality, accommodation and logistics for guest and keynote speakers
- work with rxp coordinating assistant to manage planning calendar, order supplies refreshments, speaker gifts, room reservations, materials packing parties, and other administrative tasks as needed
- maintain event income and expense budgets and manage the budget throughout the event
- review event invoices and prepare for payment/reimbursement
- prepare workshops and presenters, including preplanning, preparation, on-the-ground support and evaluation
- plan, purchase, prepare and coordinate hospitality for all event guests and external presenters
- recruit, schedule, equip and celebrate hospitality volunteers
- prepare and oversee catering orders
- demonstrate commitment to advancing equity, diversity and inclusion among the staff, congregation and community, and providing leadership for others to do the same
- ensure adherence with church policies and standard practices, including the conflict of interests policy
- other duties as assigned
