Job Requirements
- High school diploma
- minimum two years experience as a front desk agent or supervisor in luxury or ultra-luxury hotel
- strong communication skills
- proficiency in MS Word and Excel
- knowledge of PMS and point of sales systems
- supervisory experience
- ability to work with minimal supervision
- ability to stand for prolonged periods
- fluency in English
- physical ability to lift up to 20 pounds
- ability to maintain confidentiality

Job Duties
- Manage daily operations of the front office
- train, coach, counsel staff
- assist in staff development, recruiting and selection
- respond to guest concerns and ensure guest satisfaction
- maintain complete knowledge of and comply with all departmental policies, service procedures and standards
- ensure that standards are maintained at a superior level on a daily basis
- maintain complete knowledge of correct maintenance and use of equipment
- anticipate guests' needs, respond promptly and acknowledge all guests, however busy and whatever time of day
- maintain positive guest relations at all times
- resolve guest complaints, ensuring guest satisfaction
- monitor and maintain cleanliness, sanitation and organization of assigned work areas
- maintain complete knowledge at all times of all hotel features, services, hours of operation
- all room types, numbers, layout, decor, appointments and location
- all room rates, special packages and promotions
- daily house counts and expected arrivals, departures, VIP's
- room availability status for any given day
- scheduled in-house group activities, locations and times
- all hotel and departmental policies and procedures
- access all functions of the computer system
- answer department telephone within 3 rings, using correct greeting and telephone etiquette
- establish par levels for supplies and equipment
- complete requisitions to replenish shortages or additional items needed for anticipated business
- ensure that current information on rates, packages and promotions are available at the front desk and all staff are knowledgeable on such
- review daily business levels, anticipate critical situations and plan effective solutions
- prepare and adjust weekly work schedules according to staffing guidelines and labor forecasts
- ensure staff report to work as scheduled
- document any late or absent employees
- coordinate breaks for staff
- assign work duties to staff
- conduct pre-shift meetings and review daily business information
- inspect grooming and attire of staff and rectify deficiencies
- inspect, plan and ensure materials and equipment readiness for service
- monitor staff performance and rectify deficiencies
- monitor hotel front entrance and resolve congested situations
- monitor check-in and check-out processes and assist as needed
- monitor communication logs ensuring prompt guest request follow-up
- monitor safe deposit box procedures and audit accuracy
- monitor guest mail processing
- ensure express checkouts are processed
- monitor staff interaction with guests for prompt courteous service
- assist staff to ensure optimum guest service
- observe guest reactions and confer with staff to ensure guest satisfaction
- adhere to hotel requirements for guest or employee accidents or emergencies
- ensure security of guestroom access
- monitor cashiering procedures comply with accounting policies
- review previous night's no-shows and ensure billing
- assist accounting with disputed charges
- assist staff with expediting problem payments
- anticipate sold-out situations and manage overbooked or "walked" guests
- perform all other duties as required
