Job Qualifications

  • Some college or hospitality industry training (desirable)
  • Previous experience as a Reservation Agent (desirable)
  • Fluency in a foreign language, preferably Spanish (desirable)
  • Suggestive selling skills (desirable)
  • Experience with property management systems (desirable)
  • Previous guest relations training (desirable)
  • Knowledge of Forbes Travel Guide standards and luxury hospitality (desirable)

Job Duties

  • Maintain complete knowledge of departmental policies, service procedures, and standards
  • Maintain knowledge and correct use of equipment
  • Anticipate guest needs and respond promptly
  • Maintain positive guest relations
  • Resolve guest complaints ensuring satisfaction
  • Monitor cleanliness and organization of work areas
  • Maintain knowledge of resort facilities, guest room layouts, availability, rates, packages, and policies
  • Access computer functions and set up workstation
  • Answer telephone calls using proper etiquette
  • Process reservations received by various communication methods
  • Ascertain caller needs through open-ended questions
  • Describe room accommodations and amenities
  • Obtain all information to book reservations
  • Accommodate special requests
  • Access guest history records
  • Maximize reservation rates
  • Promote holiday packages
  • Assist with dining reservations and amenities
  • Verify availability and suggest alternatives
  • Explain policies and assign confirmation numbers
  • Input transportation and billing information
  • Verify reservation accuracy
  • Document manual reservations
  • Obtain approvals for same-day reservations
  • Process confirmation letters
  • Apply travel agency commissions
  • Initiate deposit refunds
  • Refer group room requests to Sales
  • Create and update group bookings
  • Monitor group lists and waitlists
  • Process mailing requests and reports
  • Participate in sustainability initiatives
  • Contact other resorts for availability and rates
  • Assist PBX and Front Desk
  • Document maintenance needs
  • Review assignments for follow-up
