Job Requirements
- High school diploma or equivalent
- minimum 6-months related experience preferably in hospitality industry
- outstanding organizational and multitasking skills
- ability to efficiently implement administrative processes and support resort operations
- proficiency with office software including Microsoft Office Suite
- ability to work collaboratively with a diverse team and independently
- obtain Notary Public if not in possession upon hire

- associate's degree or college diploma advantageous
- Notary Public Commission, State of Hawaii advantageous
- prior hospitality experience beneficial
- ability to translate between Japanese and English advantageous
- basic knowledge of Hawaiian culture beneficial
Job Duties
- Supports administrative related duties and processes
- collects proper documents related to incidents occurring at the resort and captures relevant information into a database
- responds to all inquiries including telephone and e-mail, providing information and follow-up
- provides administrative support for recreation programs by maintaining activity calendars, preparing promotional materials, and assisting with logistical arrangements
- provides outstanding guest and owner service by answering inquiries and solving problems
- assists Food & Beverage department with event leads and intake
- arranges meetings on behalf of Resort Leadership, documents minutes, and coordinates the Grand Impact Committee
- handles vendor inquiries professionally and expediently
- maintains Contracts/Service Agreements files and updates annually including Certificate of Insurance
- organizes HOA meetings including notifications, locations, and translations
- coordinates all VIP needs including amenities and accommodations
- maintains office supplies and administrative support functions
- assists with in-house notifications and emergency information
- assists with deliveries and purchase receipts as applicable
- completes company trainings and compliance courses
- maintains compliance records
- provides analytics related to guest feedback
- creates presentation decks as requested
- supports resort branding, communications, social media, and standards
- works with Resort Leadership on quality assurance, including inspections and waivers
- responds to owner/guest inquiries and resolves issues
- performs other related duties as assigned
