Job Requirements

  • Previous customer related experience is an asset
  • Associate degree or higher
  • Must be available to work weekends and holidays with flexible schedules
  • Must possess outstanding guest services skills and sophisticated verbal communication skills
  • Proof of eligibility to work in the United States
  • Basic computer skills and knowledge of Microsoft Office
  • Ability to focus attention on guest needs, remaining calm and courteous at all times

  • Must have basic computer skills and general knowledge of Microsoft Office
  • Ability to focus on guest needs while remaining calm and courteous
  • Prior experience as a front desk or reservations agent is desirable
  • Knowledge of Property Management Software (PMS) is desirable
  • Hospitality degree is a plus
  • Fluency in Spanish, French, Italian, Japanese, Mandarin, German, or Arabic is preferable

Job Duties

  • Assures that the reservations desk is covered and maintained at all times
  • Welcomes guests upon arrival in an efficient and friendly manner, using guest names whenever possible, and arranges for luggage delivery in a timely manner
  • Utilizes a variety of computer systems to create or edit reservations, run daily reports, monitor room rates and availability
  • Reviews arrivals and departures for guest preferences and coordinates with other departments to ensure perfect customer service and satisfaction
  • Handles all guest interactions and responds to guest requests in person, by phone, or email with the highest level of hospitality and professionalism
  • Resolves customer complaints and assists customers with inquiries related to hotel services, hours of operation, key personnel, in-house events, directions, and accommodates special requests whenever possible
  • Performs courtesy calls to guests and logs responses, following up where necessary
  • Posts and adjusts charges on all folios and accounts, provides backup to Financial Services, and settles bills accurately through credit card or cash transaction
  • Maintains a balanced hotel-assigned bank and reconciles all transactions at shift end
  • Processes external and internal calls by redirecting or assisting callers
  • Upholds all service procedures and communication standards according to The Ivy Standard Operating Procedures
  • Works collaboratively with coworkers, supervisors, and managers and assists other departments such as Concierge, Bell Staff, Room Service, Maintenance and Housekeeping during heavy volumes or absence
  • Handles and distributes faxes, voice messages, and written messages for hotel personnel and guests
