Job Requirements

  • Associate's degree
  • Minimum of two years event planning experience
  • Valid Texas driver's license with acceptable driving record
  • Pass federal/national criminal background check
  • Pass credit check
  • Pass pre-employment physical, drug screen, and functional assessment screening (Level 2)
  • CPR and First Aid certification within six months
  • Ability to work irregular hours including evenings, weekends, and holidays
  • Ability to lift or carry up to 45 pounds
  • Regular and punctual attendance
  • Ability to organize and supervise events of various sizes
  • Strong communication skills
  • Operational knowledge of office and event equipment
  • Ability to work with the public professionally
  • Capability to perform physical demands of the job.

Job Qualifications

  • Associate's degree or equivalent combination of education, training, and experience
  • Minimum of two years event planning experience in public facilities, bureaus, special events, or hotel environment
  • Course work in marketing, organization and business practices, information systems, hospitality or event management preferred
  • CPR and First Aid certification within first six months of hire or promotion
  • Proficient in Microsoft Word, Excel, and Outlook
  • Knowledge of office equipment including computers, adding machine, copiers, mailing, and telephone systems
  • Operational knowledge of audio-visual equipment and lighting equipment
  • Strong verbal and written communication skills
  • Ability to work with diverse groups and enforce policies and procedures
  • Ability to organize and supervise groups and diverse types of events
  • Ability to perform physical tasks related to event setup and maintenance.

Job Duties

  • Prepares facility and function rooms for events as scheduled
  • Monitors or ensures events are secure
  • Assists in planning and provides internal coordinating services to execute all customer events
  • Assists in maintaining events calendar and prepares related documentation as required
  • Maintains constant contact with customer before, during, and after events to ensure arrangements are satisfactory
  • Directs, trains, schedules and evaluates regular part-time, part-time, casual and temporary staff
  • assists with payroll by checking and approving staff timesheets
  • Finalizes booked programs, offers facility tours to customers, documents telephone inquiries, and mails informational materials
  • Provides information and registers participants
  • Quotes pricing and books events within parameters outlined by supervisor
  • Ensures services are provided in a cost-effective, timely, and professional manner
  • Provides assistance for planning, purchasing, marketing, outside vendors, and caterers
  • Maintains associated event records and documentation using current Parks and Recreation software programs
  • Assists in maintaining facility equipment and inventory

  • Handles various forms of monetary payments and delivers deposits to The REC as needed
  • Assesses and reports all outstanding fees for rental to supervisor
  • Coordinates with Parks and Recreation Team to ensure appropriate information is communicated to meet marketing and public relations branding, messaging and timelines
