Job Requirements

  • High school diploma or equivalent
  • at least one year experience as a receptionist or office worker
  • proficiency in Microsoft Office applications
  • good typing and data entry skills
  • ability to operate various communication systems such as telephone, fax, and email
  • sensitivity and understanding in human relations
  • ability to communicate clearly and consistently
  • sensitivity in functioning in a multi-cultural work setting
  • valid NJ driver’s license

Job Duties

  • Regard all information about clients as confidential
  • answer telephone calls, respond to voicemails, and expedite in the quickest method possible
  • follow up with messages left overnight with the auto-attendant and respond appropriately
  • greet visitors professionally and efficiently notify staff
  • maintain reception office, lobby, and other common areas in a clean and organized manner
  • manage pick-up/delivery of packages via FedEx, UPS, etc., for staff
  • manage the incoming and outgoing mail process and ensure processing through postage meter
  • process and distribute interoffice mail
  • manage room bookings and assist staff using office and meeting space
  • order supplies for the building's janitorial and kitchen needs
  • follow opening and closing procedures
  • be familiar with emergency procedures and appropriate contacts in case of emergency
