Job Requirements

  • High school diploma or equivalent
  • Minimum of two years' experience in special events planning or related field
  • Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job
  • Adult and Pediatric First Aid and CPR/AED certification required within three months of hire
  • Valid Florida driver's license
  • Ability to work nights, weekends, and holidays as needed
  • Ability to obtain Crowd Management Certification within six months of hire if not currently certified

  • Ability to lead, train, and supervise others
  • Knowledge of project management and event planning logistics
  • Budget knowledge and management skills
  • Strong computer skills
  • Ability to analyze and prepare data for reports
  • Ability to manage and prioritize multiple projects and events
  • Ability to work nights, weekends, and holidays as needed
  • Valid Florida driver's license
  • Adult and Pediatric First Aid and CPR/AED certification required within three months of hire
  • Certified Parks and Recreation Professional preferred
  • Crowd Management Certification preferred

Job Duties

  • Assist in the creation of an annual calendar and obtain approval for all planned events and programs including venue selections and approved spending limits
  • Oversee all logistics related to assigned events including supervision of vendors, contractors, and other departments
  • Assist in preparing records such as use agreements, vendor forms, and correspondence for residents and vendors
  • Initiate, review, and finalize contracts for event services
  • Coordinate and arrange appropriate facilities, labor, equipment, and material for event setup and breakdown
  • Obtain financial sponsorship for special events through vendor and corporate underwriting and in-kind donations
  • Manage and maintain event budget and prepare reports
  • Assist the Media division with information and guidance to design and create marketing materials, press releases, event communications, and invitations
  • Promote and market each assigned event to ensure distribution reaches the entire community and beyond
  • Manage the department's volunteer program including recruiting, interviewing, training, onboarding, and maintaining volunteer logs
  • Assist in training and supervising special events staff including volunteers and department personnel
  • Serve as the onsite manager in the absence of the Events Coordinator
  • Perform other related duties as assigned
