Job Requirements

  • Minimum of a high school diploma
  • Minimum of five years of experience as a receptionist
  • Proficiency with document management systems, Word, Outlook, PowerPoint, Concur, and Excel
  • Basic PC skills
  • Ability to use phone system, copier, scanner, fax, and printer
  • Ability to lift at least 50 lbs

Job Qualifications

  • Minimum of a high school diploma
  • College degree preferred
  • Minimum of five years experience as a receptionist
  • Proficiency with document management systems such as iManage
  • Skilled in Microsoft Word, Outlook, PowerPoint, Excel, and Concur
  • Basic PC skills including use of phone systems, copiers, scanners, fax, and printers
  • Strong written and verbal communication skills
  • Ability to lift at least 50 lbs

Job Duties

  • Answer phones, transfer calls, and occasionally take messages to ensure proper routing
  • Greet visitors in a friendly and helpful manner, maintaining a professional reception area and lobby
  • Serve as member of the National Reception Team, answering phones and transferring calls for multiple offices
  • Accept and sign for packages, distribute incoming mail, and process incoming faxes including notification, logging, and distribution
  • Schedule and set up conference rooms, and manage office calendar system
  • Assist with overflow secretarial tasks including timesheet entry, document preparation and editing, and maintaining the library
  • Ensure office equipment like copiers and printers are supplied and functional, arrange servicing as needed, manage delivery of office supplies and off-site document storage
  • Communicate effectively with clients, opposing counsel, vendors, and internal staff through accurate written and verbal communication
  • Keep personnel informed on project statuses, work progress, and deadlines, responding clearly to inquiries
