Job Requirements

  • High school diploma or equivalent
  • previous experience in customer service or clerical role preferred
  • ability to operate multi-line telephone system
  • proficiency with modern office equipment such as computers, postage machines, and copy machines
  • strong oral and written communication skills
  • ability to handle constant interruptions and work under pressure
  • ability to maintain confidentiality and discretion
  • basic knowledge of District organization, policies, and procedures
  • ability to work independently and prioritize tasks
  • availability to work 8 hours per day, 12 months per school year

Job Duties

  • Operate a phone system
  • receive and screen phone calls and visitors
  • provide information
  • direct inquiries and visitors to the proper person or office
  • transmit sensitive information as appropriate
  • provide information concerning policies and procedures of assigned program or office according to established guidelines
  • act as a welcome center for the District by assisting parents and the community with detailed information on procedures and processes including interdistrict transfers, registration, and district feedback
  • direct to applicable department or school site as needed
  • process District-wide mail service including registration packets, report cards, testing data, special mailings, bulk, and certified mail
  • monitor the District FedEx process
  • provide clerical assistance for the Superintendent's office and other District offices by performing a variety of clerical functions including conference and maintenance requisitions, posting Board agendas, assembling mailings, sorting, typing, and maintaining a variety of computer and manual files and records
  • prepare, type, and update letters, schedules, lists, and handbooks from a variety of sources requiring skill, accuracy, and discretion
  • collect data and prepare upcoming events calendars and meeting room schedules
  • maintain appropriate logs including but not limited to visitors, district vehicles, pay warrant signature, and minimum day
  • publicize District events on lobby media monitor and post on social media
  • update lobby and Board meeting bulletin boards, post and mail out agendas as requested
  • work with department budget to input purchase orders, process budget transfers
  • maintain department supplies, forms and other documents, brochures, and District and community publications
  • train relief employees to operate the phone system as assigned
  • perform related duties as assigned
