Job Requirements

  • High school diploma or equivalent
  • Minimum 2 years related experience
  • Knowledge of MS Word, MS Outlook, MS Excel and Adobe Professional
  • Strong organizational and communication skills
  • Detail oriented with excellent grammar and spelling
  • Ability to multi-task in fast-paced, team environment
  • Experience with multi-line switchboard and PC skills required

Job Qualifications

  • High school diploma or equivalent along with 2 years of related experience
  • Professional services experience preferred
  • Exceptional technical skills including knowledge of MS Word, MS Outlook, MS Excel, and Adobe Professional
  • Strong organizational, communication and client service skills
  • Must be detailed oriented, excellent grammar and spelling skills
  • Ability to multi-task and work in a fast-paced, team-oriented environment
  • Provide outstanding customer service and have the ability to work in a team environment
  • Experience with multi-line switchboard and entry-level PC skills

Job Duties

  • Answer incoming phone calls and route them to the appropriate party in a timely manner
  • Welcome visitors upon arrival and announce them to respective attorneys, legal assistants, and other support staff in a timely manner
  • Maintain visitor's log, accept/sort mail and packages
  • Oversee Maricopa County Trip Reduction Program for the firm
  • Create weekly reception schedule
  • Maintain a clean and organized reception environment at all times
  • Assist hospitality as needed with preparing for events, such as internal visitor arrivals and client meetings
  • Maintain and update internal staff documentation such as reception directory, photo directory, reception training manuals, and internal visitor reports
  • Manage and keep notary files up to date, including tracking notary expiration dates and filing applications
  • Provide additional support and perform other duties as assigned
