Job Requirements

  • High school diploma or GED
  • 1-2 years of relevant job experience or associate/bachelor's degree in communications, business, or human resources preferred
  • excellent verbal communication
  • good telephone communication etiquette
  • organized and resourceful
  • customer-focused
  • adept at prioritizing, scheduling, and multitasking
  • ability to handle office equipment such as telephone, printer, and fax machine
  • experience with SAP Concur preferred
  • experience with all Office and Outlook applications
  • fast and eager learner

Job Duties

  • Completes opening procedure including opening blinds and starting coffee
  • greets visitors and connects them with appropriate parties
  • answers and directs phone calls for CMN and MCF
  • maintains accurate employee and department directories
  • monitors security procedures and visitor logbooks
  • provides callers with business-related information
  • receives and sorts incoming mail and packages
  • manages conference room calendars and schedules
  • coordinates mail pickup and delivery services
  • assists in ordering and distributing office and cleaning supplies
  • supports clerical tasks like photocopying, faxing, and filing
  • directs complaints to appropriate parties
  • assists senior employees with expense reports and administrative tasks
  • maintains clean and organized workspace and lobby
  • enforces parking protocols
  • waters office greenery as needed
  • schedules document shredding services
  • supplies employees with special office supplies
  • supports HR with policy inquiries and onboarding
  • assists in job postings, applicant correspondence, scheduling, and paperwork
  • coordinates logistics for internal company events
  • supports HR communications and training audits
  • updates employee birthdays and anniversary boards
  • manages confidential files
  • screens candidates and schedules interviews
  • communicates employee absences and manages out-of-office calendar
  • maintains the new hire checklist
  • performs other duties as assigned
