Job Requirements

  • Must be authorized to work in the United States now or in the future without visa sponsorship
  • High school diploma or equivalent work experience
  • Five years of experience in reception
  • Professional service firm experience preferred
  • Ability to operate multi-line telephone systems
  • Excellent written and verbal communication skills
  • Ability to maintain professionalism and discretion
  • Ability to multitask and work under pressure
  • Proficient in Microsoft Office suite and related software
  • Available to work overtime including weekends during busy seasons
  • Ability to stand and sit for prolonged periods
  • Ability to bend, stoop, and stretch
  • Ability to lift 20 pounds

Job Qualifications

  • High school diploma or equivalent work experience
  • Five years of experience in reception with professional service firm experience preferred
  • Strong customer service skills
  • Ability to operate a multi-line telephone system
  • Solid verbal and written communication skills
  • Ability to establish and maintain effective working relationships with co-workers and clients
  • Ability to multitask and prioritize effectively under pressure
  • High level of professionalism, discretion, and polished presence
  • Dependability and consistency in following through on commitments
  • Strong sense of accountability and ownership
  • Excellent organizational skills managing time, priorities, and details
  • Proficient in Microsoft Excel including spreadsheet creation, data entry, basic formulas, and formatting
  • Skilled in Microsoft Word including formatting, tables, headers & footers, and mail merge
  • Experienced with DocuSign including document creation, sending, and tracking
  • Competent in Adobe Acrobat including creating, editing, and commenting on PDFs
  • Familiarity with Microsoft Outlook and Teams

Job Duties

  • Answers the telephone in a professional manner and directs callers to appropriate personnel or department
  • Ensures reception area, conference rooms and kitchen are maintained, stocked, and organized for clients and staff
  • Greets and assists all clients and visitors upon arrival to office
  • Reviews, sorts, and routes incoming mail
  • ensures outgoing mail has proper postage and is picked up
  • Includes maintaining activity log for client drop-offs and pick-ups
  • Manages UPS and FedEx activity
  • Manages office deliveries (front and rear doors, if applicable)
  • Places orders for office supplies and group lunches as needed, including stocking and setup of same
  • Completes projects as assigned by the Office Administrator, including but not limited to memos, letters, and reports
  • Assist with general administrative tasks, copying, faxing, non-department specific
  • Assist with office equipment issues, reporting, and resolution
  • Assist with Tax Engagement Letters (as time permits)
  • Ensures timely and accurate performance on assigned projects
