Job Requirements
- High school diploma or equivalent
- Previous receptionist or administrative experience preferred
- Proficiency in computer skills, including word processing and spreadsheets
- Excellent verbal and written communication skills
- Ability to manage multiple tasks and work in a fast-paced environment
- Availability to work on-site 5 days a week
- Ability to handle physical mail and packages weighing up to 50 pounds
- Strong organizational skills
- Reliable and punctual
- Customer service orientation
Job Qualifications
- Self-sufficient and proactive with excellent note-taking skills
- Highly dependable, reliable, and punctual
- Demonstrated expertise in customer service and protocol for greeting visitors and callers, especially international individuals
- Experience as receptionist in a busy office with high call volume
- Outstanding verbal communication skills
- Basic proficiency in word processing and spreadsheet software
- Familiarity with SharePoint
- Foreign language skills preferred
- Multicultural experience preferred
- Familiarity with student exchange programs or American higher education helpful
- Ability to handle prolonged sitting at desk
- Capable of moving packages up to 50 pounds
- Availability to work full-time, weekdays, on-site from 9am to 5pm
Job Duties
- Answer incoming telephone calls and route to appropriate party or voicemail
- Assist callers in identifying the appropriate party for their call
- Monitor and forward incoming fax and text/voicemail messages to relevant parties
- Assist callers with general questions about the organization and programs
- Operate reception telephone application and console, monitor its performance and report problems to IT staff
- Provide reception phone operation training to backup staff
- Greet visitors and alert relevant staff
- Assist with and monitor reception area activity
- Maintain an organized and clean reception area
- Maintain, update, and distribute general office information and lists using SharePoint
- Check organizational email box and route messages to appropriate staff
- Place business card orders
- Code administration invoices and prepare check requests for payment
- Oversee booking of conference rooms via Outlook Room Finder and CommercialCafe app
- Receive, sort, and distribute incoming and overnight deliveries, notifying appropriate staff
- Process daily outgoing USPS shipments as mail machine operator
- Monitor courier and other deliveries and notify recipients
- Prepare and update mailbox labels for staff
- Assist staff with mailing and shipment inquiries, supplies, and procedures
- Report building maintenance issues such as HVAC and lighting
- Assist in administrative service coverage during staff absences and vacations
- Provide administrative support to HR Director as needed
- Provide backup for administration staff related to office supplies, mail, services, and equipment repairs
- May be required to come in early or stay late to support events
