Job Requirements

  • High school diploma or equivalent
  • Previous receptionist or administrative experience preferred
  • Excellent communication and interpersonal skills
  • Proficiency in basic office software such as Microsoft Word and Excel
  • Knowledge of SharePoint is a plus
  • Ability to handle physical tasks including moving packages up to 50 pounds
  • Ability to work full-time on-site with a consistent schedule
  • Strong organizational skills and attention to detail
  • Capability to manage multiple tasks simultaneously and prioritize effectively
  • Willingness to work occasional extended hours to support events
  • Reliable and punctual work ethic
  • Ability to interact professionally with a diverse, international clientele

  • Self-sufficient, proactive, and fast learner with excellent note-taking skills
  • Highly dependable, reliable, and punctual
  • Demonstrated expertise in customer service and understanding of greeting protocol, especially for international visitors
  • Experience as a receptionist in a busy office with high call volume
  • Outstanding verbal communication skills
  • Basic proficiency in word processing and spreadsheet software
  • Experience with SharePoint
  • Foreign language skills and multicultural experience preferred
  • Familiarity with student exchange programs or American higher education helpful
  • Ability to handle prolonged sitting at a desk
  • Capable of handling packages weighing up to 50 pounds
  • Expected to work on-site five days per week, 9am-5pm, no remote option

Job Duties

  • Answers incoming telephone calls and routes to appropriate party or voicemail
  • Assists callers in identifying the appropriate party to whom the call should be directed
  • Monitors and forwards incoming fax and text/voicemail messages to relevant parties
  • Assists callers with general questions about the organization and programs
  • Operates reception telephone application and console, monitors performance and reports problems to IT staff
  • Provides reception phone operation training to backup staff
  • Greets visitors and alerts relevant American Councils staff
  • Assists with and monitors reception area activity
  • Maintains organized and clean reception area
  • Maintains, updates, and distributes office information and lists using SharePoint
  • Checks email inbox and routes messages to appropriate staff
  • Places business card orders
  • Codes administration invoices and prepares check requests
  • Oversees booking of conference rooms via Outlook Room finder and CommercialCafe app
  • Receives, sorts, and distributes incoming and overnight deliveries
  • Processes outgoing shipments and operates mail machine
  • Monitors courier deliveries and notifies recipients
  • Prepares and updates mailbox labels
  • Assists staff with mailing inquiries and supplies
  • Reports building maintenance issues
  • Supports administrative services during absences
  • Provides administrative support to HR Director
  • Provides backup for office supplies, mail, and equipment repairs
  • Assists with building maintenance issues
  • May work outside normal hours to support organizational events
