Job Requirements

  • High school diploma or equivalent
  • Previous experience in receptionist or administrative assistant role
  • Exceptional customer service skills
  • Proficiency with Microsoft Office and SharePoint
  • Ability to manage multiple tasks and prioritize effectively
  • Strong communication and interpersonal skills
  • Physical ability to handle mail packages up to 50 pounds
  • Must be available to work standard office hours with occasional extended hours
  • Must be punctual and dependable
  • Must be able to work in office five days a week
  • Willingness to occasionally come in early or stay late for events
  • Must adhere to nonprofit workplace policies

Job Qualifications

  • Self-sufficient, proactive, and a fast learner with excellent note-taking skills
  • Highly dependable, reliable, and punctual to ensure full coverage of the front desk
  • Demonstrated expertise in customer service and understanding of protocol for greeting visitors and callers
  • Experience in a receptionist role in a busy office with a high volume of incoming calls
  • Outstanding verbal communication skills with ability to quickly identify needs and connect calls or visitors
  • Basic word processing and spreadsheet skills including SharePoint
  • Foreign language skills and multicultural experience preferred
  • Familiarity with student exchange programs or American higher education is helpful
  • Capable of prolonged sitting
  • Responsible for handling package and mail distribution including moving packages up to 50 pounds
  • Must work on-site full-time, no remote work option.

Job Duties

  • Answers incoming telephone calls and routes to appropriate party or voicemail
  • Assists callers in identifying the appropriate party to whom the call should be directed
  • Monitors and forwards incoming fax and text/voicemail messages to relevant parties
  • Assists callers with general questions about the organization and programs
  • Operates reception telephone application and console, monitors its performance and reports problems to IT staff
  • Provides reception phone operation training to backup staff
  • Greets visitors and alerts relevant American Councils staff
  • Assists with and monitors reception area activity on behalf of organization
  • Maintains an organized and clean reception area
  • Maintains, updates and distributes general office information and lists using SharePoint
  • Checks American Councils’ e-mail box and routes to appropriate staff
  • Places business card orders
  • Codes administration invoices and prepares check requests for payment
  • Oversees the booking of conference rooms through Outlook Room finder
  • Oversees building’s conference room bookings via CommercialCafe app
  • Receives, sorts and distributes incoming and overnight deliveries and notifies staff
  • Processes daily outgoing USPS shipments as a mail machine operator
  • Checks mailbox daily for incoming mails
  • Monitors courier and other deliveries and notifies recipients
  • Prepares and updates mailbox labels
  • Assists staff with mailing inquiries, supplies, and procedures
  • Reports building maintenance issues
  • Assists in the oversight of administrative services during staff absences
  • Provides administrative support to the HR Director
  • Provides backup for administration staff related to office supplies, mail, equipment repairs
  • May work early or late to support organizational events.
