Job Duties
- Answering/routing phone calls on a multiline system
- handling mail
- signing for deliveries
- shipping supplies
- welcoming visitors with a smile
- planning and organizing executive travel including booking meetings, flights, accommodations, transportation, and creating itineraries
- handling emails and other communications on behalf of the executive team, prioritizing and responding as needed
- preparing and distributing meeting agendas, documents, and presentations for executive meetings and speaking engagements
- assisting in planning and coordinating speaking engagements, workshops, seminars, and other events
- managing administrative tasks such as document management, coordination, and shipping
- assisting in the creation and editing of presentations, reports, and educational materials
- maintaining strict confidentiality of sensitive information and documents
- optimizing the executive team’s time by managing routine and administrative responsibilities
- serving as a liaison between the CEO and team members, departments, or external parties
- undertaking special projects or tasks assigned by the executive team or CEO
- performing additional duties such as picking up orders and handling personal mail
