Job Duties
- Assist with general administrative tasks such as filing and document management
- manage incoming calls, emails, and correspondence, redirecting them as necessary
- maintain office supplies inventory and place orders when needed
- assist in coordinating office events, meetings, and appointments
- assist in coordinating lunch orders and deliveries
- assist with processing the onboarding, extension, and termination of contractors
- create U.S. invitation letters for business related visits
- schedule, assign and track monthly training for security services personnel
- greet and welcome visitors, clients, and employees in a professional and friendly manner
- answer and direct incoming calls and inquiries to the appropriate personnel
- maintain a tidy and presentable reception area
- manage visitor access and issue security badges as required
- coordinate meeting room bookings and assist with setup
- handle incoming and outgoing mail, packages, and deliveries
- create shipping labels for outgoing shipments and arrange pickup
- adhere to company policies and procedures, ensuring confidentiality and professionalism
- perform other reasonable duties as assigned
