Job Requirements

  • High school diploma or equivalent
  • at least 1 year of administrative or office experience preferred
  • proficiency in English communication
  • familiarity with electronic medical records
  • ability to manage multi-line phone systems
  • strong interpersonal skills
  • basic knowledge of medical terminology
  • ability to maintain confidentiality in accordance with HIPAA
  • capability to manage scheduling and administrative tasks efficiently

Job Qualifications

  • Ability to read, write, and communicate in English
  • high school graduate or equivalent
  • strong communication and interpersonal skills
  • experience with current office technology and computer applications (EMR, MS Office) preferred
  • at least 1 year experience in an office setting preferred
  • knowledge of insurance authorization and referral requirements preferred
  • medical terminology knowledge preferred
  • typing skills at 30 WPM preferred

Job Duties

  • Greet and promptly acknowledge patients' presence in the waiting room
  • answer the phone in a timely, polite, and professional manner
  • check-in and register new and existing patients in the electronic medical record
  • verify demographic information and insurance authorization
  • collect co-pays and prepare deposits for courier pickup
  • distribute paperwork and photocopy insurance cards and photo IDs
  • schedule and reschedule patient appointments and consult requests
  • maintain physician's daily appointment schedule and prepare charts
  • edit clinicians' schedules as needed
  • process cancellations and no-shows and notify clinicians
  • open and distribute mail
  • check-out patients and schedule follow-ups
  • coordinate orders for laboratory, radiology, and referrals
  • prepare associated forms such as requisitions or referral forms
  • maintain patient records including scanning documents into EMR
  • refer patients with billing inquiries to the billing office
  • print or provide medical records to outside agencies under guidelines
  • maintain confidentiality per HIPAA
  • maintain accurate administrative records
  • communicate effectively with coworkers and patients
  • maintain harmonious relations with staff and patients
  • adjust to unexpected changes to meet responsibilities
  • attend departmental meetings
  • perform all duties required to meet patient needs
  • float to other MACC practices when required
  • perform other assigned work-related duties
