Job Requirements

  • High school diploma or equivalent
  • prior experience in a receptionist or switchboard role preferred
  • proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and MS Teams
  • excellent verbal and written communication skills
  • strong organizational and multitasking abilities
  • reliable attendance and punctuality
  • ability to sit, stand, walk and operate standard office equipment
  • ability to lift up to 25 pounds
  • ability to work onsite Monday through Friday from 10 AM to 4:30 PM
  • willingness to occasionally work evening hours if needed

Job Qualifications

  • Excellent customer service skills and professional telephone communication
  • some past switchboard or receptionist experience preferred
  • strong clerical, administrative and PC skills including MS Teams, Windows, Outlook, Word, Excel and PowerPoint
  • demonstrated accuracy, thoroughness and attention to detail
  • ability to proofread and monitor own work for quality
  • excellent organizational skills with ability to multi-task, prioritize, handle interruptions, work at a fast pace and meet deadlines
  • good initiative and problem-solving skills with ability to learn quickly and work independently
  • ability to work both independently and collaboratively with the Administrative Support Team

Job Duties

  • Provide daily phone coverage of the company's switchboard
  • handle incoming and outgoing mail including checks, invoices, statements, and packages
  • maintain call routing sheet for incoming sales and services inquiries collaborating with all departments
  • provide general clerical and administrative support including typing, data entry, spreadsheet assignments, sorting, filing, preparing mailings, and ordering supplies
  • assist with projects, presentations, and training events including researching information, preparing materials, room reservations and setups, and managing supplies
  • arrange delivery of promotional items and materials to remote offices, sales employees, and off-site events
  • conduct Fitness Center orientations for employees and manage waivers
  • maintain company calendars including PTO, events, remote work, and room reservations
  • update Welcome Board for incoming guests and new employees
  • assist in cleaning and setting up workstations for new employees
  • assist with maintenance of office equipment such as copiers and faxes, including ordering supplies and scheduling service
  • perform daily end-of-day activities including kitchen and lunchroom cleanup, training and conference room organization, and periodic cleaning efforts such as refrigerator maintenance
  • print temporary nameplates and place orders for new ones
  • prepare and maintain backup reception schedule
