Job Requirements

  • High school diploma or GED
  • minimum two years' receptionist experience in Microsoft Windows environment
  • proficiency in Microsoft Office and database software
  • strong communication and interpersonal skills
  • ability to maintain confidentiality
  • experience with office equipment
  • ability to multitask and manage customer service demands
  • ability to lift up to 25 pounds occasionally
  • ability to provide predictable attendance
  • ability to operate a multi-line telephone system
  • ability to maintain professionalism and safety

Job Qualifications

  • High school diploma or general education degree
  • two years’ experience as a receptionist in a Microsoft Windows-based environment
  • proficiency in Microsoft Office including Word, Excel, Outlook, PowerPoint
  • experience with database software and data entry
  • demonstrated knowledge of general clerical practices and procedures
  • outstanding oral, written, and interpersonal communication skills
  • ability to maintain confidentiality
  • ability to work well with co-workers and clients
  • experience using computers, fax machines, email, smart devices, and office equipment
  • ability to provide high level of customer service in a multi-tasking environment
  • ability to handle confidential information with discretion

Job Duties

  • Greet arrivals in a courteous manner and ask them to wait in the reception area for staff escort
  • endeavor to be aware of office activities, special meetings, and board activities to support a quality guest experience
  • know the facility services and operations to provide accurate directions and assistance
  • handle walk-in visitors’ basic customer service inquiries and requests
  • keep reception area activities flowing and seek staff help for side-bar situations
  • redirect escalated issues to senior staff
  • deny entrance to unauthorized individuals diplomatically and contact appropriate individuals for support
  • provide clerical support including answering phones, greeting interview candidates, forwarding messages, preparing reports, entering data into databases, supporting mail and copying needs
  • respond to general public email inquiries using good judgment
  • maintain a professional reception work area
  • contact custodial for cleaning beyond regular schedules if needed
  • communicate with staff via two-way radio system
  • remain knowledgeable about event management software and event activities
  • perform miscellaneous duties and project assignments as directed
  • ensure safe operation of equipment and report accidents immediately
  • comply with quality service program and SCC standards
  • maintain thorough understanding of duties and emergency preparedness
  • demonstrate dependability, communication, customer service, teamwork, and organizational skills
  • provide regular and predictable attendance
  • read and interpret various documents
  • write basic internal communications
  • communicate effectively via telephone and with small groups
  • perform basic mathematical calculations
  • solve practical problems and interpret various instructions
  • perform all duties professionally and safely
