Job Requirements

  • High School diploma or GED
  • two years' relevant office, receptionist or secretarial experience
  • good communication skills
  • knowledge of electronic office systems, including MS Office
  • knowledge of Oracle preferred

Job Duties

  • Monitors MDC security access buzzer
  • greets visitors to the MDC, directs them to sign in, advises staff of their arrival, and escorts or directs them to the appropriate location
  • answers phones in a pleasant, courteous and professional manner and transfers calls to appropriate staff
  • handles routine inquiries related to the home-delivered meal program, and consumer and other calls regarding meal deliveries
  • routes phone calls to appropriate individuals
  • reviews service orders for changes to meal care plans
  • writes up order slips or cancellations as applicable
  • records information related to changes to consumer meal deliveries, problems, and other issues in comments section of consumer's record in Meal System
  • plans for, coordinates, and tracks requests for consumer meal pick up by care manager or consumer's relative or friend
  • completes applicable paperwork, obtains necessary signatures, informs production staff of required meals
  • receives, date stamps and distributes incoming mail and inter-office materials
  • routes outgoing mail and inter-office communications appropriately
  • photocopies and faxes documents as needed
  • accepts delivery of small packages, equipment
  • copies printed materials for distribution to consumer
  • color-codes material by route or area of city
  • counts out material and sorts by route and delivery day
  • assists in reviewing redeliveries for missed meals, and writing them up for the following delivery day
  • responsible for handling retro-active orders for consumers whose meal plans need to be activated
  • completes a meal delivery slip for same-day delivery as needed
  • performs and assists with miscellaneous clerical duties such as collating, stapling, folding, stuffing envelopes, filing
  • provides back-up for dispatch in Transportation office
  • provides back-up functions for MDC Program Coordinator and Administrative Assistant in their absence, including LIFE meal consumer deliveries, dispatch and recording meal choice orders
  • performs other general administrative and program duties as assigned
