Job Requirements

  • Five years of experience in a facilities management role
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to maintain a professional demeanor
  • Strong organizational and multitasking skills
  • Ability to handle visitor check-in and security procedures
  • Excellent communication skills

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience in facilities management role preferred
  • Experience developing expense reports, booking travel, and performing other basic administrative tasks as assigned by leadership
  • Strong communication and interpersonal skills
  • Ability to maintain professionalism and confidentiality

Job Duties

  • Greet and welcome guests in a warm and professional manner
  • Answer general information questions and provide directions for meetings and events, if applicable
  • Answer, screen, and forward incoming phone calls and voicemails
  • Maintain the reception area, keeping it clean and presentable at all times
  • Receive, sort, and track daily mail and deliveries and place orders for office supplies as needed/requested
  • Manage appointments and provide details about meeting room bookings, if applicable
  • Provide basic public information about the organization to visitors and clients
  • Assist with administrative tasks such as filing, data entry, and/or document preparation
  • Follow security procedures and manage the visitor check-in process
  • Maintain professional demeanor and behavior at all times in all forms of communication
  • Perform other duties as assigned by manager
