Job Requirements

  • Bilingual skills in English and Spanish
  • Ability to apply understanding to carry out instructions furnished in written, oral or diagram form
  • High school diploma or equivalent
  • Proven work experience as a receptionist, front office representative or similar role
  • Proficiency in Microsoft Office
  • Hands-on experience with office equipment such as fax machines and printers
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills with ability to prioritize tasks
  • Customer service attitude

Job Duties

  • Answer telephones and direct callers to appropriate associates
  • Transfer callers to associate voice mailboxes when unavailable
  • Assist HR with clerical duties including payroll, attendance, reporting and employee events
  • Greet and direct visitors to the company
  • Take and retrieve messages for various personnel
  • Provide callers with company information such as address, directions, fax numbers and website
  • Receive, sort and forward incoming mail and maintain publications
  • Coordinate pick-up and delivery of express mail services and trucks like FedEx and UPS
  • Assist in ordering, receiving, stocking and distribution of office supplies
  • Perform related clerical duties such as photocopying, faxing, filing and collating
  • Promote and adhere to food safety and quality standards
  • Maintain continuity among work teams by documenting and communicating actions, irregularities and needs
  • Maintain a safe and clean working environment by complying with rules and regulations
  • Contribute to team effort by accomplishing related results as needed
