Job Requirements

  • High school diploma or equivalent
  • Experience in customer service or clerical roles
  • Ability to use phone systems and office software
  • Strong communication skills
  • Ability to manage multiple tasks efficiently
  • Bilingual in Spanish and English preferred
  • Ability to maintain a welcoming and professional demeanor
  • Basic clerical skills including filing and scheduling
  • Willingness to support parish community activities

Job Qualifications

  • Strong communication and interpersonal skills
  • Proficiency with phone systems and office software
  • Ability to multitask and manage time effectively
  • Bilingual in Spanish and English preferred but not required
  • Knowledge of church or community resources is a plus
  • Detail-oriented with good organizational skills

Job Duties

  • Welcome and provide hospitality to office visitors and parishioners, creating a warm and professional environment
  • Respond to parish phone calls and manage inquiries received through shared parish email inboxes, ensuring timely and helpful communication
  • Provide general information to persons calling or visiting the parish, utilizing church, social service, community, and government directories to offer accurate and helpful information
  • Oversee phone system maintenance and voicemail management including configuration, routing setup, and recording of all main line greetings, serve as the liaison with the IT company to manage and improve phone flow
  • Oversee scheduling and use of parish facilities, maintain kitchen, office and resource room supply inventory and reorder as needed, maintain clean and organized rooms and closets, regularly round church and public spaces to ensure a clean and welcoming environment
  • Maintain centralized online calendars including the liturgy calendar
  • Provide clerical assistance including scheduling or confirming meetings, filing, collating, copying, sorting, preparing labels, open and distribute incoming mail and ensure mailing of outgoing mail
  • Provide assistance to parishioners requesting Mass requests and Mass cards and provide information about stipends
  • Serve as liaison to Spanish-speaking community if bilingual, monitor the parish's Spanish-language email account and respond to inquiries, offer assistance and translation support to Spanish-speaking parishioners
