Job Requirements
- Bachelor's degree or equivalent experience preferred
- strong receptionist and general office experience
- prior administrative support experience in complex situations
- proficiency with web conference call platforms and MS Office tools
- experience in event coordination and planning
- active member of parish or faith community
- excellent communication and organizational skills
- ability to maintain confidentiality
- ability to work independently and collaboratively
- bilingual abilities are a plus

- Carries out the mission of the Church and the parish to help people come to know and follow Jesus Christ by supporting administrative functions, collaborating with pastor, staff and volunteers, and managing essential processes
- ability and desire to use God-given gifts and talents in service of the local Church in support of collaboration between lay and ordained ministers
- active member of a parish or faith community in good standing with the Church
- strong receptionist and general office experience
- prior experience providing high levels of administrative support in complex situations requiring problem solving and good judgement
- proficient in web conference call platforms such as Zoom and Microsoft Office tools including Word, Excel, PowerPoint, Teams, and SharePoint
- event coordination and planning experience
- knowledge of and familiarity with the Catholic Church in Western Washington
- experience working with a diverse population in an urban setting
- excellent communication skills
- ability to work with various personalities professionally
- ability to maintain high standards of confidentiality
- excellent organizational skills with ability to multi-task
- ability to work independently and in a team

Job Duties
- Welcome and provide hospitality to office visitors and parishioners, creating a warm and professional environment
- respond to parish phone calls and manage inquiries received through shared parish email inboxes, ensuring timely and helpful communication
- provide general information to persons calling or visiting the parish using various community and governmental directories
- oversee phone system maintenance and voicemail management including configuration, routing setup, and recording of all main line greetings
- serve as liaison with the IT company to manage and improve phone flow
- oversee scheduling and use of parish facilities, maintain kitchen, office, and resource room supplies and reorder as needed, ensure rooms and closets are clean and organized
- regularly round church and public spaces to assure a clean and welcoming environment
- maintain centralized online calendars including liturgy calendar
- provide clerical assistance including scheduling, filing, collating, copying, sorting, and preparing labels
- open and distribute incoming mail and ensure mailing of outgoing mail
- assist parishioners requesting Mass requests and Mass cards and provide information about stipends
- act as liaison to Spanish-speaking community, monitor Spanish-language email account and respond to inquiries related to sacramental preparation and general parish information, provide translation support to Spanish-speaking parishioners to ensure clear communication and access to parish services
