Job Requirements

  • Previous receptionist, customer service, or hospitality experience preferred
  • senior living or healthcare experience a plus
  • at least one year of Accounts Payable experience
  • compassionate, patient, and service-oriented approach to working with older adults
  • strong verbal and written communication skills
  • excellent organizational and multitasking abilities
  • proficiency in Microsoft Office and basic office equipment
  • ability to remain professional and composed in a fast-paced or emotionally sensitive environment

Job Duties

  • Greet residents, family members, visitors, and vendors with professionalism, warmth, and respect
  • assist residents and families with basic requests or direct them to appropriate staff members
  • maintain the reception area to ensure a clean, organized, and welcoming atmosphere
  • monitor safety devices such as fire monitoring equipment, boiler and smoke detector alarms and respond in accordance with established policies
  • answer, screen, and direct incoming phone calls courteously and promptly
  • maintain stock of paper and other office supplies
  • assist in general clerical and administrative functions including filing, data entry, copying, and scanning
  • receive, sort, and distribute mail, packages, and deliveries
  • maintain key and resident status logs, issue keys, and ensure accountability
  • report equipment malfunctions promptly
  • take meal orders and collect payments for meals and guest accommodations
  • generate POS receipts and manage guest apartment reservations
  • support scheduling of meetings and activities
  • communicate effectively with clinical, dining, maintenance, and administrative teams
  • maintain confidentiality and comply with privacy regulations
  • respond appropriately to urgent situations and follow established procedures
  • assist the Admissions Coordinator with daily tasks and tours
  • maintain cash boxes and collect cash for postage and copy services
  • perform month-end closing of POS and provide backup assistance for medical billings
