Job Requirements

  • High school diploma or GED
  • At least 1 year of experience in receptionist, dispatcher, administrative assistant, customer service, or call center role
  • Excellent phone communication skills
  • Strong written and verbal communication
  • Proficiency with Microsoft Office and Teams
  • Ability to learn web-based scheduling and CRM software
  • Ability to work Monday to Friday, 8 AM - 5 PM on-site with some flexibility and overtime
  • Ability to perform light filing and occasional lifting

Job Qualifications

  • High school diploma or GED
  • 1+ year in a receptionist, dispatcher, administrative assistant, customer service, or call center role preferred
  • Strong phone etiquette and verbal/written communication skills
  • Proficient with Microsoft Office and Microsoft Teams
  • Familiarity with web-based scheduling or CRM tools
  • Experience in restoration, construction, property management, or insurance claims is a plus

Job Duties

  • Answer inbound calls
  • greet walk-ins
  • deliver five-star customer service with empathy and professionalism
  • Enter new leads/First Notice of Loss (FNOLs) accurately
  • verify details and document all communications
  • Dispatch and schedule production teams
  • coordinate on-call rotations
  • adjust routes as priorities change
  • Track jobs/Work In Progress (WIP)
  • follow up on estimates and customer communications
  • flag bottlenecks early
  • Coordinate logistics (materials, access, vendor visits) to keep projects on time
  • Provide general office support (email, filing, collections, data entry) and other duties as needed
