Job Requirements

  • High school diploma or equivalent
  • Previous experience in receptionist or office administrative support role
  • Ability to communicate effectively both verbally and in writing
  • Basic computer proficiency, including familiarity with scheduling systems
  • Ability to manage multiple tasks and prioritize workload
  • Strong interpersonal skills and customer service orientation
  • Commitment to maintaining client confidentiality and professionalism
  • Availability to work on-site as required
  • Ability to work under supervision and follow directions
  • Reliable attendance and punctuality

Job Qualifications

  • High school diploma or equivalent
  • Experience providing receptionist or administrative support preferably in a healthcare or social services setting
  • Strong communication and interpersonal skills
  • Ability to handle confidential information with discretion
  • Basic computer skills including proficiency in scheduling software and electronic medical records
  • Ability to multitask and manage time effectively
  • Compassionate attitude and ability to work well with diverse populations
  • Knowledge of HIPAA and related privacy regulations preferred
  • Ability to maintain professional boundaries and client confidentiality
  • Experience with billing or payment processing is a plus

Job Duties

  • Create a safe and welcoming environment by greeting clients and visitors while maintaining a friendly, calm presence
  • Direct clients/visitors to appropriate personnel
  • Assist in the de-escalation of clients if a situation arises
  • Collect client copays and record them in database
  • Maintain log of payments and reconcile receipt register
  • Assist billing staff in keeping accurate records of insurance coverage, copays, coinsurance, and eligibility
  • Answer incoming phone calls and provide information to clients
  • Perform preliminary screening and transfer calls accordingly
  • Refer clients to appropriate agencies if services are not provided
  • Take messages as needed
  • Acclimate clients to check in, program and scheduling procedures, and waiting room decorum
  • Assist clients in completing needed documentation correctly
  • Maintain knowledge of daily schedules for groups and appointments
  • Manage scheduling functions for clinical staff including booking, confirming, rescheduling, and cancelling appointments
  • Coordinate provider calendars and ensure accurate timely data entry
  • Process records requests in compliance with HIPAA and 42 CFR part 2 in a timely manner
  • Act as information source to clients and therapists
  • Act as a support person for clinical teams
  • Maintain professional boundaries and client confidentiality at all times
  • Attend work as scheduled and arrive at designated time
  • Type correspondence, reports, and curriculum material
  • Generate letters and forms, enter and update client information in electronic medical record
  • Make copies for clinical staff
  • Track program census, retention, and productivity
  • Liaison to all clinical teams for scheduling intakes, cancellations, and tracking attendance
  • Create, maintain and distribute client statements
  • Perform other functions as necessary or assigned
