Job Requirements

  • High school diploma or equivalent required
  • One to two years customer service or front desk receptionist experience
  • Ability to multitask, prioritize workload and manage time
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills, collaborative style, and positive working relationships
  • Reliability and discretion
  • High degree of professionalism
  • Ability to interact compassionately with clients and professionally with public and stakeholders
  • Ability to work in an environment with frequent interruptions
  • Office-based position requiring extended periods of sitting
  • Ability to reach, bend, and lift office supplies or packages (typically up to 15-25 pounds)

Job Qualifications

  • High school diploma or equivalent
  • Associates degree in administration and/or certification from an accredited educational institution preferred
  • One to two years customer service or front desk receptionist experience
  • Demonstrated commitment to high professional ethical standards and diversity in the workplace
  • Exceptional customer service skills
  • Strong verbal and writing communication skills
  • Proficient use of computers, internet, social media, Microsoft Office suite of programs, and multi-line phone system
  • Bilingual strongly preferred

Job Duties

  • Answer and direct all calls in a professional, friendly manner and take complete and accurate messages with the current date and time and deliver messages to the appropriate staff as soon as possible
  • Document all incoming calls into Apricot Database
  • Greet all incoming clients, vendors and visitors with a warm and friendly welcome and manage check-in process for appointments
  • Ensure the reception, living area, and kitchen are consistently clean, organized, and properly stocked with all required supplies
  • Receive, sort, and distribute incoming mail, packages, and other correspondence
  • Organize meeting rooms before and after every meeting
  • Assist with other administrative tasks as required by the Chief Finance Officer
