Job Qualifications

  • Previous experience in receptionist or customer service role preferred
  • Familiarity with multi-line phone systems
  • Proficiency in Microsoft Office applications such as Word, Excel, and Outlook
  • Ability to operate general office equipment
  • Strong verbal and written communication skills

Job Duties

  • Serve as the Florida's Turnpike Enterprise receptionist answering all incoming calls using a multi-line phone system and building security intercom in a timely, friendly, professional, and prompt manner
  • Provide callers with prompt and accurate information, quickly identify the need(s) of the caller, and transfer the call to the appropriate party
  • Upon customer and employee requests provide general organizational and building information, traveling directions, tolling instructions, and other assistance as needed and as requested
  • Greet all visitors with a smile and in a friendly and welcoming manner, obtain visitor information, and issue visitor badges utilizing an electronic identification (I.D.) badging system, announce the arrival of the visiting guest(s), and arrange for an escort to their destination
  • For large meetings create pre-visitor badges prior to the arrival of the visitors
  • Provide visitors with building information and security protocols, coordinate and assist with room set-ups
  • Prior to meetings verify rooms are set-up according to the request of the customer and ensure rooms are neat, clean, and ready for use
  • Receive building work order requests, communicate, coordinate, and ensures the proper staff are notified of the request in a timely manner
  • Receive and process all Motor Pool vehicle reservation requests
  • Test and inspect all Motor Pool vehicles to ensure cleanliness, proper operation, and that the vehicles are in a readiness condition to use
  • Maintain all required vehicle maintenance and service logs, identify and report vehicle deficiencies, coordinate all necessary vehicle repair and maintenance services needed
  • Assist in transporting state vehicles to and from the maintenance yard as needed
  • Arrange, prepare, and coordinate car washes of all Motor Pool vehicles and other State-owned vehicles
  • Prior to making payment to the vendor ensure the cleanliness of the vehicles
  • Properly submit mileage logs on time entering and uploading the vehicle data each month into the State fleet database
  • Support mission critical job duties within other Support Service departments, following all desktop procedures and provided training for each of the following areas as needed and as requested: mailroom operations
  • receive, process, and deliver incoming mail and packages, prepare outgoing mail and packages using proper processing methods based on the customer’s needs
  • Deliver and pick up mail from the US Post Office
  • Reprographic Operations: receive and prepare documents for printing, print documents, deliver copy paper to Business Centers an install paper into copiers, replace copier toner and other needed supplies
  • Records Management Operations
  • pick up boxes and shred bins from various locations, deliver and pick up boxes to an off-site storage facility
  • Maintain and coordinate all auditoriums and conference rooms in a neat and readiness to use condition which would include ensuring supplies are stocked, white boards are cleaned, chairs are aligned, trash cans are emptied and free of food and odor and rooms are set-up correct and ready to be occupied
  • Perform other duties as required
