Job Requirements

  • High school diploma
  • 2-3 years of front desk receptionist experience
  • Bilingual in English and Spanish speaking, reading, and writing
  • Intermediate MS Office skills
  • Ability to provide excellent customer service in fast-paced environments
  • Knowledge of administrative duties and office technologies
  • Ability to handle escalated issues professionally
  • Experience with multi-line phone systems
  • Ability to maintain confidentiality and adhere to HIPAA
  • Strong interpersonal and communication skills
  • Ability to manage multiple tasks and maintain organization
  • Positive attitude and cultural sensitivity
  • Willingness to work onsite and comply with confidentiality requirements

Job Qualifications

  • High school diploma
  • At least 2-3 years working as a front desk receptionist with high client or patient traffic
  • Bilingual in English and Spanish including speaking, reading, and writing
  • Intermediate proficiency in MS Office Suite
  • Ability to demonstrate excellent customer service in chaotic environments
  • Strong problem-solving and critical thinking skills
  • Skilled in handling escalated issues via phone and in person
  • Knowledge of general administrative services and office automation
  • Experience with multi-line phone systems
  • Ability to maintain accuracy and confidentiality including HIPAA compliance
  • Strong teamwork, communication, organization, and time management skills
  • Ability to work with diverse groups including staff, board members, partners, and community members

Job Duties

  • Manages and maintains the continuous flow of DCAC clients and guests by greeting and checking in clients, instructing sign-in procedures, describing paperwork, escorting guests to waiting rooms, and notifying staff
  • Professionally and courteously answers the main phone line, routes and transfers calls accordingly
  • Documents all client contact calls in real time in the client case management database system
  • Serves as point of contact for all building-related questions via phone and in person
  • Observes and monitors clients and families in waiting rooms via security systems
  • Manages and maintains front desk appearance and organization while ensuring HIPAA compliance
  • Schedules return trips and last-minute client transportation requests
  • Maintains and updates building directory in coordination with Human Resources and Partner Relations
  • Provides front desk overview and protocols for new staff and volunteers
  • Organizes and cleans waiting rooms regularly
  • Updates and maintains front desk manual and procedures
  • Assists with document translations and interprets bilingual conversations
  • Tracks, prints, and orders front desk supplies
  • Attends and participates in team and supervision meetings as well as the annual Crimes Against Children conference
  • Performs back-up client services associate duties as needed
  • Other duties as assigned
