Job Requirements

  • High school diploma or equivalent
  • Minimum two years clerical experience in an office environment
  • Some accounting experience
  • Familiarity with telephone systems or switchboards preferred
  • Ability to handle multiple administrative and accounting tasks
  • Reliable and professional demeanor
  • Capacity to lift and move up to 25 pounds
  • Good vision including close vision, depth perception, and focus adjustment

Job Qualifications

  • High school diploma or its equivalent with classes in accounting
  • Minimum two years of clerical experience in office settings with some accounting experience
  • Proficiency in switchboard or front desk receptionist duties preferred
  • Strong organizational and detail-oriented skills
  • Ability to maintain confidentiality and demonstrate ethical standards
  • Effective communication skills
  • Basic knowledge of accounts payable and payroll processes

Job Duties

  • Monitor general voice mail box and Customer Service Voice Mail Box
  • Operate telephone console to receive incoming messages and direct callers to proper destination
  • Collect and distribute mail and messages
  • Check fax email and distribute outgoing emails
  • Process accounts payable invoices and prepare accounts payable checks
  • Monitor and manage accounts payable aging reconciliation to general ledger
  • Process monthly employee company credit card statements
  • Process and post lockbox receipts
  • Prepare and post weekly payroll entries
  • Prepare auxiliary payroll reports
  • Prepare various journal entries to maintain general ledger
  • Prepare weekly payroll and production metrics reports
  • Prepare G/L account reconciliations
  • Prepare other reports as directed by controller
  • Perform other duties as assigned
