Job Requirements
- High school diploma or equivalent
- previous receptionist or administrative experience in a fast paced environment
- excellent communication skills
- proficiency with Microsoft Office and office software
- capability to manage multiple tasks simultaneously
- ability to work standard office hours Monday through Friday with flexibility
- physical ability to lift up to 50lbs and climb step ladders
- customer service oriented
- attention to detail and strong organizational skills
- professional appearance and conduct
Job Qualifications
- Previous experience in a fast paced receptionist role
- superior interpersonal and communication skills both written and verbal
- proficient use of various office-based software including Microsoft Office
- tech savvy with the ability to process emails and phone calls
- excellent problem resolution interpersonal and time management skills
- ability to consistently produce quality work
- ability to multi-task and be flexible in a fast paced environment
- ability to work Monday to Friday between 0800 and 1600 with occasional weekend work
- ability to lift up to 50lbs climb step ladders and be agile in the office
- professional deportment
Job Duties
- Greet all visitors in a professional manner into the office
- direct and or instruct visitors as required
- accept and field all incoming telephone calls and re-direct where required
- answer inquiries take messages for all staff as appropriate
- maintain security access on premises during normal working hours
- enforce use of the visitor logbook
- ask health and safety screening questions and ensure all personnel within the office are authorized and accounted for
- maintain internal telephone directories and ensure they are up to date
- sort and mail employee documentation as required
- maintain and update distribution lists as required
- maintain and update employee filing as required
- receive mail daily and distribute to office staff by organizing mail into appropriate mailboxes
- post and drop off mail at the end of each day
- gather, address, and send courier packages for delivery daily or as required
- order, purchase, and control all office stationary products
- assist in sorting documents for distribution to field staff
- photocopy and maintain documents
- carry out other tasks as directed by branch management
- manage uniform tasks including ordering, tracking, sorting and outfitting security staff
- ensure the entrance and reception area is clean and clutter-free daily
- uniform guards according to site contracts and enter into database system
- keep inventory of all uniforms
