Job Requirements

  • High school diploma or equivalent
  • 1-2 years of relevant receptionist or administrative assistant experience
  • Strong communication skills
  • Proficiency with Microsoft 365 Suite and related software
  • Ability to manage multiple tasks efficiently
  • Poised and professional demeanor
  • Reliable and detail-oriented work ethic
  • Ability to work onsite full-time Monday through Friday
  • Must pass background check

Job Qualifications

  • 1-2 years of experience in a receptionist or administrative assistant role
  • Strong verbal and written communication skills
  • High degree of professionalism, discretion, and reliability
  • Excellent organizational and multitasking abilities
  • Proficiency with Microsoft 365, Outlook, Teams, Dropbox, and Adobe Acrobat
  • Experience in an architecture, engineering, or professional services firm preferred
  • Familiarity with project management or time tracking software preferred
  • Event coordination or hospitality background preferred

Job Duties

  • Greet clients, consultants, and guests with professionalism and warmth
  • Manage a multi-line phone system, screening and routing calls appropriately
  • Monitor voicemails and general email inboxes, ensuring timely follow-up
  • Maintain the reception and common areas to ensure a professional and organized space
  • Open and close the office daily, ensuring readiness and security
  • Handle mail, packages, and courier deliveries
  • Provide direct administrative support to the CEO and COO
