  • Strong verbal and written communication skills
  • High degree of professionalism, discretion, and reliability
  • Excellent organizational and multitasking abilities
  • Proficiency with Microsoft 365, Outlook, Teams, Dropbox, and Adobe Acrobat

  • Experience in an architecture, engineering, or professional services firm (preferred)
  • Familiarity with project management or time tracking software (preferred)
  • Event coordination or hospitality background (preferred)

Job Duties

  • Greet clients, consultants, and guests with professionalism and warmth
  • Manage a multi-line phone system, screening and routing calls appropriately
  • Monitor voicemails, general email inboxes, and ensure timely follow-up
  • Maintain the reception and common areas to ensure a professional and organized space
  • Open and close the office daily, ensuring readiness and security
  • Handle mail, packages, and courier deliveries
  • Provide direct administrative support to the CEO and COO
  • Draft internal communications, send team reminders, and compile daily updates
  • Track employee time and attendance
  • assist with reporting
  • Schedule meetings, Lunch & Learns, and manage multi-calendar coordination
  • Format documents, manage digital and hardcopy filing systems, and assist with document preparation
  • Support office events, including setup and hospitality coordination
  • Operate office equipment including printers, scanners, and phone systems
  • Proficiently use Microsoft 365 Suite (Outlook, Word, Excel), Microsoft Teams, Dropbox, and Adobe Acrobat
  • Assist with light design tasks using Canva or Adobe InDesign
  • Coordinate team schedules and provide daily support to executive leadership
  • Liaise with external vendors, consultants, and event presenters
  • Ensure the team is informed of key deadlines and meetings
