Job Requirements

  • High school diploma or GED
  • Previous front office experience in a healthcare facility
  • Familiarity with standard office procedures
  • Ability to use office equipment and computer software
  • Valid CA driver’s license, personal transportation, good driving record, and auto insurance
  • Commitment to safety with CPR/BLS certification or willingness to obtain within 30 days
  • Reliable transportation

Job Qualifications

  • High school diploma or GED
  • Previous front office experience in a healthcare facility
  • Familiarity with standard office procedures, filing, record-keeping, and use of office equipment and software
  • Certified Nursing Assistant (CNA) certification preferred
  • Experience working with frail elderly populations preferred
  • Bilingual abilities in English/Spanish, English/Cantonese, English/Mandarin, or English/Vietnamese preferred
  • Valid CA driver’s license, personal transportation, good driving record and auto insurance preferred
  • Proof of current CPR/BLS certification or willingness to obtain within 30 days preferred

Job Duties

  • Greet participants and visitors with a friendly smile, check them in and out, ensure accurate documentation in CRM/EHR systems
  • Answer and route incoming calls, take messages, respond promptly, document interactions in EHR
  • Maintain a neat, organized, and inviting reception area
  • Send referrals and prospective participant information to the Outreach Team
  • Respond to urgent calls following established policies and procedures
  • Process incoming mail and packages and distribute efficiently
  • Manage office calendar, schedule conference rooms, assist with event setup
  • Schedule maintenance and services for center equipment
  • Support facility opening and closing duties, report any issues
  • Manage office and breakroom supplies by inventory control and ordering
  • Assist hiring managers with new employee onboarding
  • Support daily center operations including activities, meal services, and escorting participants
  • Assist in preparing reports and supporting audits required by DHCS, CMS, and other regulatory bodies
  • Provide administrative assistance on special projects
  • Perform other responsibilities as needed to maintain efficient center operations and participant care
