Job Requirements
- High school diploma or GED
- Minimum two years experience in receptionist, clerical, or telephone roles
- Proficiency in operating office equipment including multi-line phone systems, copiers, fax machines, and postage machines
- Strong verbal and interpersonal communication skills
- Ability to maintain updated directories and filing systems
- Knowledge of compliance with federal and state poster requirements
- Familiarity with community resources and neighborhoods
- Positive attitude and pleasing personality
- Basic computer skills

Job Duties
- Answer incoming calls and welcome visitors to the agency, directing them to the correct department, staff member, or external agency as needed
- Serve as a liaison between individuals seeking assistance and community resources
- Keep an updated directory of local agencies and their services, ensuring information is accurate and easily accessible
- Manage the agency's postage meter operations by logging all incoming and outgoing mail, determining postage needs for outgoing correspondence, and preparing monthly usage reports
- Maintain a current listing of in-house contact numbers for staff members
- Ensure compliance with federal and state law poster requirements by keeping necessary postings up-to-date within the agency
- Receive employment applications, review them for completeness, and forward to the appropriate human resources personnel
- Work with human resources staff to verify employee employment status when necessary
- Organize and maintain filing systems for records in the Human Resource Department as well as other departments when required
- Operate office equipment efficiently for copying, faxing, and using the automated postage machine as needed
- Oversee the issuance and collection of identification badges for both staff members and visitors
- Manage visitor check-in/out procedures by ensuring all guests sign designated logs upon entering or exiting the facility
