Job Requirements

  • Ability to work in an office and maintain a standard schedule of 8:30 AM - 5:30 PM
  • This position may require occasional lifting, carrying, or moving of boxes or materials weighing up to 30 pounds

  • Occasional paid overtime may be required during peak periods or events

Job Qualifications

  • Prior experience in a receptionist, office coordinator, administrative assistant, or customer service role preferred
  • Strong communication, organizational skills, and attention to detail
  • Professional, service-oriented demeanor with the ability to handle confidential information with discretion
  • Comfortable managing multiple priorities in a fast-paced environment
  • Proficiency with Outlook and basic office systems

Job Duties

  • Serve as the first point of contact for all visitors
  • greet guests professionally, notify internal hosts of arrivals, and coordinate access with building security
  • Maintain visitor logs and ensure the reception area is clean, organized, and welcoming at all times
  • Answer and route main line calls
  • triage general inquiries and monitor shared reception inboxes
  • Monitor office calendars and conference room bookings
  • proactively identify conflicts and coordinate room setup, catering, and guest pre-clearance
  • Manage full catering logistics - ordering, delivery coordination, setup, and cleanup
  • Ensure conference rooms are meeting-ready and returned to original state after use
  • Execute daily restocking of kitchens, supply areas, conference rooms, fitness centers, and shared spaces
  • Own kitchen and pantry readiness, including daily lunch setup/cleanup, dishwasher cycles, and weekly grocery ordering
  • Receive and distribute all incoming mail, packages, and supply deliveries
  • support outgoing mail and shipping needs
  • Track inventory and flag maintenance issues or service requests to the Office Manager
  • submit and track building/vendor work orders as needed
  • Provide overflow administrative support including scheduling, filing, document preparation, and expense report assistance
  • Assist with internal events, training sessions, wellness programs, and other company initiatives as needed
