Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or administrative support role
  • Strong verbal and written communication skills
  • Ability to operate multi-line phone systems
  • Proficient in Microsoft Office applications
  • Organizational skills to manage multiple tasks
  • Ability to maintain confidentiality and handle sensitive information
  • Professional appearance and interpersonal skills

Job Qualifications

  • Excellent phone etiquette and communication skills
  • Experience with multi-line phone systems and voicemail transfer
  • Professional demeanor and polished appearance
  • Ability to multitask and work efficiently in a fast-paced environment
  • Strong organizational and administrative skills
  • Proficiency in Microsoft Word, Excel, email, and general internet use
  • Familiarity with ten-key and office equipment (copiers, faxes, scanners)

Job Duties

  • Answer and direct all incoming calls and voicemails with professionalism
  • Accurately take messages and route calls to the appropriate department
  • Maintain office supplies for all departments and ensure monthly orders are completed
  • Keep office equipment (copiers, fax machines) stocked with paper and toner
  • Sort and distribute all incoming mail, faxes, and packages
  • Process outgoing mail including FedEx, certified mail, and other special deliveries
  • Assist with maintaining and auditing personnel and I-9 files as directed
  • Support the office team with general clerical tasks as needed
