Job Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry tasks
  • Experience with multi-line phone systems and phone etiquette to handle calls professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment
  • Previous experience as a dental or medical receptionist is a plus, along with personal assistant experience or bookkeeping knowledge
  • Attention to detail for proofreading documents and maintaining accurate records
  • Demonstrated customer service skills with a friendly demeanor and professional attitude

Job Duties

  • Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive experience from the moment they arrive
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette
  • Maintain front desk operations by handling mail distribution, scheduling appointments, and managing visitor logs
  • Support office management tasks such as filing, data entry, proofreading documents, and organizing office supplies
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative functions
  • Assist with calendar management and scheduling appointments or meetings for staff or executives
  • Provide customer support by addressing inquiries efficiently and maintaining excellent communication standards
