Job Requirements
- Must possess a 12th grade education or equivalent
- must have at least 2 months experience in clerical roles or completed secretarial science program
- must maintain an eligible ACHA Background Screening status
- must be fluent in English (read, write, speak, understand)
- must have independent decision-making abilities and remain calm in emergencies
- must possess strong interpersonal and tactful communication skills
- must be knowledgeable of administrative procedures and HIPAA privacy practices
- must be cheerful and able to work well with others
- must minimize waste and misuse of equipment
- must follow written and oral instructions
- must type at least 30 words per minute and operate computers
- must effectively use a 10-key calculator
- must operate office equipment such as copier, fax, and telephone system
- must assist Business Office Manager as needed
- must understand Long Term Care Facility regulations
- must treat all residents and visitors with respect and dignity
- must protect all residents' rights
- must maintain service quality standards
- must have genuine concern for elderly care
- must not pose a health or safety threat in the workplace
- must meet physical and health requirements including medical exam
- must have ability to move intermittently and handle up to 35 lbs
- must be able to manage mental and emotional stresses of the job
- must maintain confidentiality at all times
Job Qualifications
- High school diploma or equivalent
- at least 2 months experience in a clerical position or secretarial science program completion
- ability to read, write, speak and understand English
- ability to make independent decisions and remain calm in emergencies
- strong interpersonal skills to deal tactfully with diverse individuals
- knowledgeable of administrative practices, procedures and guidelines
- understanding of HIPAA Privacy practices and confidentiality protocols
- cheerful personality able to work harmoniously
- ability to minimize waste and misuse of supplies and equipment
- ability to follow written and oral instructions
- typing speed of at least 30 words per minute
- proficient computer skills including 10-key calculator use
- ability to operate copy machine, fax, multi-line telephone system
- understanding of regulations governing Long Term Care Facilities
- respect for residents' rights and dignity
- genuine interest in elderly care
- physical ability to handle relevant tasks
- excellent communication and organizational skills
Job Duties
- Operate paging and telephone system as required
- answer telephones, determine nature of call and direct caller to appropriate individual or department
- receive requests from within facility and locate personnel through paging system
- receive inquiries and release information in accordance with established policies and procedures
- maintain a current file/listing of residents by name and room number, emergency phone numbers of on-call personnel, department extensions, key personnel, etc
- greet visitors and direct to appropriate office and/or resident room
- give directions/information to visitors, guests, residents, sales representatives, etc. and ensure sign-in and out
- offer beverages to visitors as appropriate
- monitor presence and location of sales representatives and other service providers
- ensure guests/visitors abide by rules and refuse admission as directed
- notify supervisor or administrator of any problems immediately
- report suspicious persons/information to supervisor
- assist with administrative duties such as typing and filing
- receive and distribute mail, prepare outgoing mail including FEDEX and USPS
- operate copier, office machines, stamp/mail machines as directed
- operate computer as directed
- maintain confidentiality of all resident and facility information
- prepare resident identification arm bands and door tags
- assist with human resource functions as needed
- know and implement emergency and disaster procedures
- receive payments and issue receipts
- provide funds from resident trust accounts and document
- schedule hair appointments and maintain logs
- assist department directors in administrative matters
- perform other related duties as necessary
