Job Requirements

- Ability to manage financial processes such as billing and payments

Job Duties
- Answer phones, provide customer service, and maintain log of all calls
- Schedule coordination to ensure efficient crew utilization and balanced job scheduling
- Manage Work-in-Progress (WIP) board to update staff on daily schedules and job status
- Complete FNOL documentation verifying all data entered into SERVPRO Office Automation (SOA)
- Prepare job paperwork for crew and estimator ensuring all appropriate forms are sent
- Enter electronic estimates converting Estimator's scope
- Manage job file documentation to ensure accuracy and completeness
- Communicate job progress and data with COI, ensuring accurate reporting and scheduling of services
- Confirm subcontractor activity to maintain timely scheduling, updates, and payments
- Perform job completions ensuring correct invoices and complete paperwork are delivered to customers
- Bill customers promptly for services rendered
- Process customer payments, prepare deposits, and reconcile payments ensuring accurate account application
- Manage Accounts Receivable to keep it current
- Maintain file system ensuring paperwork accessibility and organization
- Manage company calendar and schedule meetings and travel arrangements
- Handle outgoing and incoming mail, email, and faxes timely
- Review and route company bulletins to appropriate parties ensuring compliance
- Maintain office and general supplies to support employee productivity
