Job Requirements
- High school diploma or equivalent
- Proven experience as a receptionist or in a similar administrative role
- Excellent communication and interpersonal skills
- Proficiency with office software and communication tools
- Ability to handle multiple tasks efficiently
- Strong problem-solving abilities
- Ability to maintain confidentiality and professionalism at all times

Job Duties
- Monitor all phone calls, transfer and relay messages as applicable
- Monitor kitchen maintenance, food/beverage inventory including expiry dates, online ordering/tracking, receipt of deliveries, restocking and organization of supplies
- Take inventory of all office stationery, order and refill as needed
- Monitor office cleanliness including routine walk-throughs of all spaces and storage areas, and communicate with cleaning staff to ensure requests are fulfilled
- Manage conference room bookings
- Register guests, greet visitors upon arrival, validate parking, attend to beverages and other accommodations as needed
- Assist with scheduling office vendor service calls and oversight of work completion
- Manage postal mail including PO Box collection, sorting, scanning and distribution
- Prepare USPS certified mail, FedEx and UPS shipments and track deliveries (domestic and international)
- Send/receive e-faxes and assist with Docusign envelopes
- Coordinate Executive business lunch reservations upon request
- Run various errands as needed, within walking or driving distance
- Assist with administrative tasks and special projects
